This Global Employee Privacy Notice (“Notice”) explains how Ford Motor Company and members of the Ford Motor Company family of companies (collectively, “Ford,” “we,” “us,” or “our”) collect, use, store, and disclose the Personal Information of retirees, beneficiaries, contingent workers, former employees, and other individuals who formerly worked for Ford in an employment context (collectively, “you”). The Ford entities that will be the controllers processing your Personal Information will be one or more of the following: (1) the Ford entity with whom you have or previously had an employment relationship, that manages or managed your contract, or that manages your benefits; and/or (2) Ford Motor Company.
This Notice may also be supplemented by local notices or policies specific to your relationship with Ford. If there is a conflict or inconsistency between a local notice or policy and this Notice, the local notice or policy will take precedence. PERSONAL INFORMATION WE COLLECT
“Personal Information” means any information related to an identified or identifiable natural person, subject to applicable data protection laws. Personal Information includes the term “personal data” as used in data protection laws, including the European Union’s General Data Protection Regulation (“GDPR”).
The Personal Information we collect depends on how you interact with us. In the normal course of human resource and business activities, we collect Personal Information about you from different sources and in various ways. Other information directly associated with Personal Information also may be considered Personal Information. Information that is aggregated, anonymized, or de-identified may not be considered Personal Information.
We may collect, obtain, or generate the following categories of Personal Information from or about you (whether we collect, obtain, or generate a specific category of information depends on the nature of your role and the requirements or limitations of the country where you have or had an employment or contractual relationship with Ford). Note that the specific Personal Information we collect about you may not include all the examples listed below, and we will follow the Personal Information collection limitations and requirements of the country where you have or had an employment or contractual relationship with Ford.
- Contact Information, such as name, other names (including former names, preferred names, nicknames, aliases), postal address, email, telephone, mobile phone, and social media handles.
- Demographic Information, as permitted subject to applicable law in your country of residence, such as date of birth, place of birth, age, gender, race, nationality, ethnicity, marital status, sexual orientation, military service or veteran status, religious or philosophical beliefs, and trade union membership.
- Preferences, such as language or travel preferences.
- Audio and Visual Recordings, such as photographs, closed-circuit television (“CCTV”), and meeting and presentation recordings.
- Identification Numbers, such as Social Security, tax ID, visa, passport, driving/driver’s license, military identification, vehicle identification or tag, or other government identification numbers.
- Eligibility Documentation, including document copies, such as government identifiers, driving/driver’s license, passport, visa status, citizenship, immigration, alien certificate, proof of work authorization or permit, car or other vehicle registration, military service identification card, and other government document information.
- Ford Employment Details, such as job title and description; hire date, years of service, and term; type of worker (including employee, retiree, temporary or casual worker, consultant or contractor, or apprentice); employment category (including full time, part time, regular, temporary); job description; position, department, grade, level, cost center, and other classification; probationary period; career progression; performance assessments and evaluations; disciplinary and grievance records; and termination date.
- Professional Information, such as job history, work experience, references, and recommendations; other information included in a resume, CV, application form, or cover letter; information provided in interviews and through screening questions; and information contained in any personal webpages or documents you choose to share, including social media profiles.
- Education and Qualification Information, such as education information, qualifications, and skills; degrees and certificates; security clearances; professional affiliations and licenses; psychometric data; and responses to behavioral or other screening questions.
- Timekeeping and Leave Information, such as time records, vacation, medical leave, family leave, parental leave, and other absence and leave data.
- Compensation and Benefits Information, such as pay rate; payroll; account numbers; deduction information; insurance and medical health care information (including provider name, plan, coverage level(s), payments); dependents, beneficiaries, and family members; medical, accident, and disability records; severance pay; pensions; and expenditures for company business (including travel, education, mileage).
- Health Information, such as disability, information related to accommodations, self-certification forms, doctor notes, and medical and occupational health reports.
- Security Information, such as account and password information, system access, building access, and time recording.
- Content of Communications, such as information relating to communications sent when using Ford devices or IT systems (including email, messaging platforms, video platforms) and information contained in communications with Ford employees.
- Event or Training Attendance Information, such as registration information, event or course name, event or course details, training results, and details of training attendance.
- Device Details, Digital Activity, and Network Information obtained when using Ford devices or IT systems, such as IP address and mobile network provider; online activity and patterns, such as access times, internet and electronic network history, webpages visited, weblogs, app features used; and other network related information. - Vehicle Information, if you operate a company-owned vehicle, such as location, driving data, vehicle data, media analytics, vehicle analytics, and vehicle service history (see your local company vehicle privacy notice for more details).
- Ford-Generated Information, such as employee ID, including Global Personal Identifier (“GPID”); work email, address, and phone number; credentials; and other unique identifiers.
- Inferences, when we infer new information from other data we collect, including using automated means to generate information about likely preferences or other characteristics.
“Sensitive Personal Information” may include religious or philosophical beliefs, race or ethnic origin, citizenship or immigration status, trade union membership, political opinions, sexual orientation, gender identity, health information, biometric information, criminal history, and other categories defined by applicable law. Sensitive Personal Information is processed in limited circumstances, as permitted and required by applicable law, to comply with our obligations in connection with your employment or contract with Ford and subject to additional safeguards. If you provide Sensitive Personal Information to Ford for purposes that require consent, you consent to the collection, use, disclosure, and other processing for the purpose for which you provided it and as permitted by applicable law.
Please note the collection of certain Personal Information is prohibited in some locations, while the exact same Personal Information must be collected in other locations. For example, in some locations, we must collect information on race or ethnicity to comply with equal opportunity laws, while in other locations, collection of that information is prohibited. We will collect categories of Personal Information where required by law, and we will not collect categories of Personal Information where prohibited by law.
If you provide us Personal Information related to a third person (such as name, date of birth, gender, and government-issued identification numbers), you are responsible for ensuring that you have the right and/or authority to provide such Personal Information to us. You are responsible for notifying such third parties about the details of this Notice, as well as obtaining consent from such persons (if consent is required) or otherwise ensuring that you have sufficient legal bases to allow Ford to process the Personal Information of such third parties lawfully and in accordance with this Notice.
We may combine categories of Personal Information. We may use anonymized, de-identified, and aggregated information for any purpose in accordance with applicable law.

- Recruitment, Hiring, Contracting, and Advancement, including maintaining information about the recruitment process; facilitating role changes; managing transfers and promotions; providing reference information; adjusting, changing, and transferring positions; relocating assignments, including international assignments; adjusting contracts and service agreements; managing and assessing performance; learning, development, and advancement; and succession planning.
- Timekeeping and Leave, including managing working time, holiday, and other leave and sickness absence.
- Compensation and Benefits, including managing and providing access to payroll; compensation programs; bonuses; expense reimbursements; travel and expense programs; retirement or pensions; stock options or purchases; and health, life, and disability insurance, and other benefit programs.
- Human Resources Management and Financial Planning, including managing workplace and workforce planning and administration, recruitment, staffing, resource planning, employment statistics, job or task scheduling or administration; planning, implementing, and managing relationships and contractual rights; enforcing any agreement, contract, policy, or document relating to human resources management; auditing and accounting (including internal and external); analyzing costs and controlling budget; controlling and screening of the spread of communicable diseases; analyzing and reporting on data analysis; and improving our internal operations.
- Ford Initiatives, including managing diversity and inclusion activities, participating in research and development, and promoting sponsored activities (internally and externally).
- Security and Integrity, including preventing data loss; maintaining the security of our operations and systems; protecting our premises, assets, systems, and intellectual property; enforcing company policies; monitoring communications (where permitted by law and in accordance with our policies); and performing investigations related to compliance, security, integrity, and disciplinary actions.
- Information Technology Systems Management, including managing access, maintaining systems and servers, enhancing information technology, and monitoring internet and website usage.
- Communications, including communicating directly with you, circulating in-workplace communications, and other internal and external communications.
- Trade Union and Works Council Relations, including processing union deductions and contributions and otherwise fulfilling collective and recognition agreements.
- Legal and Regulatory Obligations, including fulfilling work authorization, identity verification, immigration, audit, health, safety, employment, intellectual property, tax, restricted-party screening, and other legal requirements; complying with government authority requests for information, liens, garnishments, tax compliance, and performance management; and investigating and obtaining advice for legal claims, compliance, regulatory, investigative, and disciplinary purposes (including disclosure of such information in connection with anticipated or actual legal process or litigation).
- Business Reorganization, such as preparing for or entering into a merger, sale, purchase, joint venture, assignment, transfer, or other disposition of our business, assets, or stock, or rehabilitation, capital venture, or any similar transaction.
- Ford Vehicle Management, as described in your local company vehicle privacy notice.
We generally rely on the lawful basis of performance of a contract when processing Personal Information related to your employment or contractual relationship with Ford. We may process your Personal Information based on your consent for certain voluntary activities. Additionally, we may process your Personal Information for our legitimate interests to provide optional programs and initiatives, operate our business, meet our contractual and legal obligations, and protect the security of our systems, employees, retirees, and other workers.
Unless specifically indicated otherwise, provision of Personal Information is needed by Ford for the purposes set out in this Notice, including the performance of its contract/engagement with you and compliance with Ford's legal obligations. In particular, certain Personal Information may be required to fulfill your contract. Failure to provide that information may result in our being unable to fulfill your requests; may limit your ability obtain certain benefits and/or compensation; may limit your ability to participate in Ford programs and initiatives; or may affect our ability to comply with our legal and employment obligations.
Depending on your role and location, certain processing of Personal Information (such as background screening) may include additional privacy disclosures relevant to the Personal Information that we collect for those activities. These disclosures will be provided when we perform such processing activities.
Your Personal Information will be processed for the purposes for which it was collected as described in this Notice. If we intend to process your Personal Information for another purpose that is not consistent with this Notice, we will provide you with appropriate notice and obtain your consent as required by applicable law.

Personal Information will be stored in Ford's systems, including Oracle and Microsoft O365, which may be hosted and managed by Ford's service providers and suppliers. These systems may be located in your country of residence or in another location where Ford, its service providers, or its suppliers have operations, as described in the Location and Transfer of Personal Information section below. When required by applicable law, disclosures of Personal Information shall be subject to an agreement that limits the purpose of processing, requires appropriate security safeguards, and ensures compliance with applicable law. Technologies are used for various purposes, as permitted by applicable law, to store your preferences and settings, such as your language settings; help authenticate your Ford account and enable you to sign-in; combat fraud; manage our site and application performance; personalize your experience and the content you see on our online services, such as by conveniently auto-filling data fields in online forms; and otherwise manage our operations and sites.
Where permitted by applicable law, our websites and mobile apps may include Technologies from service providers and vendors. In some cases, that is because we have hired the third party to provide services on our behalf. In other cases, it is because our webpages contain third-party content (such as embedded videos, maps, plugins, or ads) that contain Technologies used to track operability and performance of the content, as well as your interaction with that content to determine its effectiveness. When a browser connects to a third party's web server to retrieve content and/or Technologies, that third party is able to set or read its own cookies on your device and may collect information about your online activities over time and across different websites or online services that also contain that third party's content or Technologies.

We keep the categories of Personal Information described above for as long as is necessary for the purposes described in this Notice or as otherwise permitted or authorized by law. - Such Personal Information must be stored and transmitted in a safe and secure manner. To the extent Sensitive Personal Information is collected over the public internet, encryption may be required.
- All data containing Sensitive Personal Information, whether hard copy or electronic, must be destroyed securely in a manner that protects the confidentiality of the underlying data.
Unlawful or improper use or disclosure of Sensitive Personal Information is prohibited. Those who violate this Notice are subject to disciplinary action, up to and including termination.
